1. Who We Are

This portal is operated by AVIT Systems ("AVIT," "we," "us," or "our"). It is a private, password-protected platform for authorized clients to browse AV equipment and submit rental quote requests. It is not a public e-commerce store.

2. Information We Collect

We collect only the information necessary to operate this service:

• •Account credentials (username and bcrypt-hashed password)
• •Contact details provided at account creation (name, email address)
• •Quote request content (event name, dates, venue, items, notes)
• •Contact information entered on quote submission forms (name, email, phone number)
• •Authentication session tokens (stored client-side as secure, HTTP-only cookies)

We do not collect payment information, track user behavior for advertising, or use third-party analytics on this portal.

3. How We Use Your Information

• •To authenticate your account and maintain your session
• •To process and respond to quote requests
• •To send confirmation emails and internal notifications to the AVIT team
• •To create corresponding records in our RentalWorks business management system

4. Data Storage and Security

Account data is stored in a local SQLite database on the application server. Passwords are hashed with bcrypt (cost factor 12) and are never stored in plaintext. All data in transit is encrypted via TLS/HTTPS. Access to the database is restricted to application server processes and AVIT administrative personnel.

5. Data Sharing

We do not sell, trade, or rent your information to third parties. Quote request data may be transmitted to our RentalWorks instance (hosted by IntelliEvent) to create deal and quote records. Email notifications are sent via our configured SMTP relay. Both services are operated under separate data processing agreements.

6. Session Cookies

This portal uses a single session cookie to maintain your authenticated state for up to 8 hours. No third-party tracking cookies are used. The cookie is marked Secure and HttpOnly and is cleared when you sign out or when the session expires.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us at the address below. Account deletion requests will be processed within 30 days.
